Identity cards, educational certificates, insurance policies, property papers and medical reports are the documents we need at the most stressful moments: an emergency, a job application, a lost wallet or a flood. Safe digital copies mean you are never completely stuck if the originals are lost or damaged. Doing it carelessly, though, can expose your personal information to fraud.

A simple, secure system takes an afternoon to set up.

Start with DigiLocker

DigiLocker is the Government of India's official platform for storing and receiving documents digitally. Many documents, such as driving licences, vehicle registration, Aadhaar and some educational certificates, can be fetched directly from the issuing authority. Documents issued through DigiLocker are legally recognised and generally accepted by government departments, which makes them more useful than a plain photo of a card.

Download it only from the official app store listing or website, and protect it with a strong PIN.

Make a list of what matters

Before scanning anything, write down the documents your household would need in an emergency:

  • Identity and address proof for every family member.
  • Birth, marriage and educational certificates.
  • Bank, insurance and investment records.
  • Property, rental and vehicle papers.
  • Medical records, prescriptions and vaccination records.
  • Important warranties and receipts.

Scan clearly and name files sensibly

Use a scanning app or your phone's built-in document scanner rather than an ordinary photo, so pages are flat and readable. Save them as PDFs and give each file a clear name, such as "Passport-Priya-expires-2031.pdf". Group them into folders by person or by type. A well-named file is found in seconds; a folder full of files called "IMG_4832" is not.

Store copies securely

  • Use a reputable cloud storage service with a strong, unique password.
  • Turn on two-factor authentication so a stolen password alone is not enough.
  • Keep a second copy on an encrypted pen drive or external drive at home.
  • Avoid storing sensitive documents in chat apps, email drafts or shared family folders that many people can open.

Share carefully

When someone asks for a copy of an ID, share only what they need. Many people write the purpose and date across a copy, for example "For flat rental verification only, 8 September 2026", which makes misuse harder. Where available, use the masked Aadhaar, which shows only the last four digits of the number. Delete documents from chats once they have been received.

Keep it up to date

Set a reminder once or twice a year to add new documents, remove expired ones and check that your passwords and backups still work. Note expiry dates for passports, licences and insurance so they never catch you by surprise.

Tell one trusted person

In an emergency, someone else may need to find your documents. Make sure one trusted family member knows where the digital copies are kept and how to reach them safely.

Frequently asked questions

Is DigiLocker safe to use?

DigiLocker is an official government service and uses secure login with your mobile number and a PIN. Keep it safe by never sharing your OTP or PIN and by downloading the app only from official sources.

Are DigiLocker documents valid?

Documents issued into DigiLocker by the issuing authority are legally recognised as equivalent to the originals under Indian IT rules, and many departments accept them, including traffic police for driving licences and vehicle registration.

How do I download a masked Aadhaar?

You can download a masked Aadhaar from the official UIDAI website by choosing the masked option before downloading your e-Aadhaar. It hides the first eight digits of your number.

An afternoon well spent

DigiLocker for official documents, clear scans for the rest, strong passwords with two-factor authentication, careful sharing and a yearly review. It is not glamorous work, but the day you lose a wallet or need a certificate in a hurry, you will be glad you did it.
